Your objectives:
- Call & Vet the applicant.
- Answer their questions.
- Discover if there is a better role or additional role for which they are suited. Use our Recruiting Pages to help you with this process. If they are suited for another role as well (ex: District Captain, Legislative Liaison Team Member, Content Writer, etc.) let your Regional Captain know.
- Have them confirm their account.
- Have them sign the volunteer agreement. https://legal.conventionofstates.com/S/COS/Transaction/Volunteer_Agreement_Manual
- Assign them or reject their application.
Detailed Steps:
1. Call to vet them within 3 days - If no one answers leave a message and move on to step 2, if someone answers do the following.
- Learn and Educate: Why do they want to volunteer? Do they understand COS? What types of volunteering interests them? Do they have specific skills they would like to utilize?
- Make careful notes in Citizen Builder about their responses. If you feel that someone would not represent cos in an appropriate or lawful way - reject their application.
- If they are suited for an additional role, encourage them to apply via our Recruiting Pages or the Take Actionpage. (Hint: Use our Recruiting Pages or the Take Action page as a reference while talking to them.)
- Let them know that they will receive an email asking them to create an account and sign the volunteer agreement.
2. Send them the Volunteer Applicant Email. Edit as necessary if their account has already been confirmed or the volunteer agreement has already been signed. If you were not able to speak with them on the phone, include the third action item asking them to call you.
3. Assign or reject their application within 5 days using the form at the bottom of their LMT Application page.
- If you Assign: send New Volunteer Welcome Email. (MUST have signed the volunteer agreement and confirmed their account before being assigned)
- If you Reject: send Application Rejection Email & remove their volunteer interest checkmark.
(Regarding Check Mark Removal: The Volunteer Interest Check Mark should be present on the profiles of current Volunteers, Volunteer Applicants, and Individuals who have expressed interest and have not yet been followed up with. Former Volunteers, rejected applicants, and individuals who have been followed up with and are not current applicants should have their check marks removed. This is necessary to allow our Lists to highlight the new Volunteer Interests that are otherwise overlooked.)
